A club is a business with members. This page is for the person who answers for its money.
One double-entry ledger under everything
Every invoice, receipt, credit note, wallet top-up and till sale lands on the same ledger, through one journal engine. Postings are immutable: corrections are reversals, not edits, so the trail the auditor walks is the trail that happened.
The subs run, properly
Annual and pro-rata subs, levies and storage, statements, and the debtor ageing the committee actually reads. A price changed by hand is an override: it needs a reason and a role, and lands in a register the committee can read.
Debit orders, proved before they run
Batches are set up for the club's own collection profile and proved in a dry run before the first live collection. No collection goes out that the office has not seen on paper first.
The wallet is club credit, not our money
Members pre-fund a wallet the till debits. Top-ups and takings land in the club's own bank and merchant accounts. Golf Club Hub keeps the ledger, never the money.
Your auditor keeps their books
There is deliberately no general ledger of ours. Journals export to Xero or Sage, which remain the club's books, in a format the accountant's own tools accept. If the club ever leaves, the books were never trapped anywhere.
The parallel run proves it
The first subs cycle runs beside the club's current system, month-end compared line by line, and the switch happens only when the committee signs the numbers off.
