How it works
at your club.
Here’s how subscriptions & accounts fits into the way your club runs.
Subs that reflect the membership.
Work through annual and pro-rata subscriptions with your office. Add agreed levies or storage charges and check the exceptions before running the cycle.
- Subscriptions and agreed additional charges
- Invoices and credit notes
- A review of unusual membership cases
Give members a clear answer.
Statements and debtor ageing help the office explain an account and follow up what is outstanding. The record should show the charges and receipts behind a balance.
- Member statements
- Overdue account information
- Recorded reasons for price overrides
Leave the books with your accountant.
The club system keeps an operational double-entry record. Journals can be exported for Xero or Sage; your accountant’s system remains the place for the club’s books.
- A traceable financial journal
- Corrections recorded through reversals
- Agreed journal export and reconciliation
Let’s make it work
for your club.
We work through the details with the people who will use it.

Your finance team checks balances and membership categories before migration.
- 2
Run a cycle alongside today’s process.
Compare the normal charges and the exceptions, line by line.
- 3
Sign off before switching.
Move only when your club is satisfied that the numbers agree.
A little more
you might want to know.
Who holds the club’s money?
Your club. Payments use its own agreed bank and merchant arrangements. Golf Club Hub keeps records, rather than holding members’ funds.
Are debit orders automatically collected?
Batch preparation and bank collection are separate. We agree the club’s collection profile and check a dry run before the first live collection.
